Finance and Administration Manager
Artspace seeks a Finance and Administration Manager to oversee Artspace’s financial operations and reporting. This individual will have experience in managing a small business (profit or non-profit) or a department at a larger organization. They have acted as the liaison between organizational leadership and financial consultants for both accounting and human resources with experience in preparing financial records for federal, state, and local reporting. They may have worked full-time for several years but would like to reduce their hours due to life changes and/or new professional goals. This person has a love for the visual arts and would like to contribute to cultural community-building in New Haven with their expertise in managing financial and human resources at Artspace.
The Manager will take administrative control over budgeting, payroll/human resources, and business planning. They will ensure that all financial records are accurate, oversee accounts and cash flow, administer internal audits, and cooperate with external auditors. The Manager will ensure that the human resource needs operate in line with standards and regulations and communicate with vendors and consultants as required. Experience with grant reporting is a plus.
Reports to: Executive Director
- Maintain procedures for handling finances and accounting, including donations, earned income, purchasing, and processing receipts for exhibitions and programs.
- Maintain database records for accounts payable and receivable, including individual donations and grants.
- Prepare contracts for artists and agreements with other vendors, resolve any issues regarding invoices or billing.
- Prepare reports on financial data for board meetings and compile board documents.
- Create procedures for budget preparation, help develop budgets, and investigate actual costs incurred compared to the budget.
- Support staff on the execution of special events and programs, invitations, RSVPs, mass mailings, staffing, and in-kind donations.
- Support Executive Director with the board of directors communication, document filing, and sharing.
- Basic office management such as the set-up of workstations and electronic devices (when needed), maintaining shared documents and folders, petty cash, office supplies, and staff professional development.
Bachelor’s degree in finance or arts management required. 5-10 years of progressively responsible experience in a corporate environment (for-profit or non-profit) with five years of experience leading teams preferred. Additional years of experience may be substituted for the degree requirement.

- Must demonstrate a high level of emotional intelligence.
- Must have excellent interpersonal and customer services skills.
- Must have the ability to handle multiple priorities, meet deadlines and work independently with minimal supervision.
- Must display excellent communications skills and a strong knowledge of financial analysis, accounting, and auditing.
- Must demonstrate experience managing complex budgets, experience with non-profit grants a plus.
- Must be proficient in the latest versions of Quickbooks and Quickbooks Payroll or similar software, Microsoft Office, and Google products.
Salary Range: $35,000 – 40,000
The Finance and Administration Manager is a part-time position (24-30 hrs per week) with benefits based in New Haven, CT. Office hours are Wednesday-Saturday 12-6 pm and will include both in-person and remote work.
